Patient Recall & Reactivation
Cortex Lite
You depend on your front desk to keep patients on the books, but missed visits, unreturned calls and unfinished recalls keep costing you patients. They drop the ball; your schedule and income take the hit.
Cortex Lite gives your front desk a ranked recall list, a call script in one of three styles, and a recorded outcome for every call that sets the next step.
The short version
What you need to know in half a minute
Cortex Lite puts a ranked recall list, the patient information and the right script in front of your team, giving them what they need to make each call smoothly and confidently. Every call outcome is recorded and turns into the next step, before a missed visit becomes a patient you haven’t seen in months.
The problem
Recall is the job that gets pushed to tomorrow. Nobody knows who is overdue, the calls feel awkward, and what the patient said is never written down.
What it does
Cortex Lite ranks the patients due for recall, keeps those who should not be contacted off the list, hands your team a script, and records how each call went.
What changes in your office
Recall calls become tasks in the front-desk queue. Each outcome decides what happens next, so no patient is called twice or forgotten because someone lost track.
- A ranked list of who to call first
- Three script styles, so calls sound like your office
- Every call outcome recorded
- Recall calls sit in the same queue as other front-desk work
In your office
How Cortex Lite fits into your day
- Morning at the front deskRecall calls are waiting as tasks in the front-desk queue, alongside the rest of the day’s work.
- Open the recall listPatients are ranked by priority. Patients who are not eligible or should not be contacted are kept off.
- Pick the scriptYour CA chooses Warm & Personal, Direct Scheduling, or Concern & Continuity, and has the words in front of them.
- Make the callThe patient’s information and the script are on one screen, so the call is calm and specific.
- Record the outcomeYour CA records how the call went. The outcome drives the follow-up task or takes the patient off the list.
Screens
Screens and video
Screens for Cortex Lite are being prepared on a fictional demo practice. Until then, the steps below show how a recall call works for your team.
In depth
What Cortex Lite does for your office
Your team starts with the patients who matter most
Cortex Lite builds the recall list and ranks it by priority. Patients who are not eligible, or who should not be contacted, are suppressed. Your CA does not have to dig through reports to find who is overdue.
The right words, in the voice of your office
Three script styles are built in: Warm & Personal, Direct Scheduling, and Concern & Continuity. Your CA picks the one that fits the patient and the office, and the call sounds like care, not a sales pitch.
Every call leaves a trail
Each call outcome is recorded. That outcome creates the follow-up task or takes the patient off the list. Nobody has to remember who said call me next month.
Recall sits in the same queue as everything else
Recall calls are tasks in the front-desk work queue, with an owner, not a separate spreadsheet that gets ignored on busy days.
The care you give does not end when the patient stops coming in. Calling them back is part of the care, and it deserves a plan as careful as your treatment plan. Cortex Lite gives your team that plan and the words to carry it out.
